Security Changes Coming to Zoom

Effective 27 September 2020, Zoom will be implementing changes for added security by requiring either a Passcode or Waiting Room. If you do not enable a Passcode or Waiting Room then Zoom will enable a Waiting Room for your meetings. See the Zoom September Update FAQ page for more information.

Passcode Option:

Meetings set up through the Learning Suite interface on the Online Tab utilizes passcodes as part of the integration and takes care of that for you. Students join your meetings by clicking “Join” on the appropriate meeting, and the passcode is automatically passed behind the scenes; students don’t even have access to the passcode. This increases security since students will not be able to send the passcode to others. See https://lsinfo.byu.edu/online-tab for more information about the Learning Suite integration.

If you are not using Learning Suite and choose to enable a Passcode instead of Waiting Room, make sure to share the meeting Passcode with participants when you send out the meeting information. If you add Passcodes to an existing meeting, the information will need to be resent to include the Passcode.

To enable a Passcode without using Learning Suite, sign into the Zoom web portal and click Account Management>Account Settings. In the Security tab, enable the passcode setting. Visit the Zoom Passcodes page if you have questions.

Waiting Room Option:

WARNING: When a Waiting Room is enabled, the host or co-host will have to allow participants to enter the meeting. This can become problematic if an instructor is teaching already and a student is late, the instructor will have to pause teaching to let the student into the meeting. If you DO NOT put a passcode on your meetings, Zoom will automatically turn on the Waiting Room feature for your meeting!
